Role: Onboarding Specialist (Pre-Hire Process Specialist)
Location: Olympus, Mumbai / Think Campus, Bangalore
Band: BPO 2/3
Salary: Up to 9 LPA
Shift: Night Shift (6:00 PM to 4:00 AM or 7:00 PM to 5:00 AM IST)
Job Summary
We are looking for an experienced Onboarding Specialist to manage and coordinate end-to-end pre-hire onboarding activities for new employees. The ideal candidate will ensure a smooth onboarding experience by collaborating with recruiters, hiring managers, and candidates while maintaining compliance and process excellence throughout the onboarding lifecycle.
Key Responsibilities
Serve as the primary point of contact for candidates during the onboarding process.
Coordinate end-to-end onboarding activities, including pre-boarding, orientation scheduling, and first-day readiness.
Guide candidates through onboarding requirements and answer onboarding-related queries.
Select and initiate appropriate background verification packages based on job role and location.
Coordinate and manage drug testing requirements where applicable.
Review background check and drug test results and provide onboarding clearance.
Schedule start dates and assign appropriate onboarding events and learning activities.
Update candidate records and onboarding status in HR systems such as Workday.
Send Day 1 communication to candidates, hiring managers, and recruiters, including reporting instructions and onboarding details.
Partner with recruiters, hiring managers, and business stakeholders to ensure a seamless onboarding experience.
Maintain accurate onboarding records, trackers, reports, and compliance documentation.
Support global and regional onboarding initiatives and process improvement activities.
Qualifications
Education
Bachelor’s Degree in Human Resources, Business Administration, or a related field preferred.
Experience
3–6 years of experience in candidate onboarding.
Experience in US onboarding is preferred; however, international onboarding experience is mandatory.
Experience using HRIS platforms such as Workday, SAP SuccessFactors, BambooHR, or similar systems is an advantage.
Required Skills

Ability to manage priorities in a fast-paced environment.
Customer-focused mindset with a professional attitude.
Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
Preferred Qualifications
Experience working in a Shared Services or Global Business Services (GBS) environment.
Familiarity with onboarding automation tools and platforms.
Understanding of US employment laws and compliance requirements.
