We are seeking an efficient, detail-oriented individual to fill the role of Executive Assistant in our dynamic team. The successful candidate will serve as an essential partner to our senior leadership, providing high-level administrative support, conducting in-depth internet research, coordinating travel, and handling personal assistant tasks. This role requires an individual with exceptional organizational skills, strong English proficiency, and a keen eye for detail.

Work from home



Monday to Friday | 9 PM to 6 AM



*Following US Holidays



Responsibilities:



·      Internet Research & Report Compilation: Conduct in-depth research on various topics as required. Compile your findings into organized reports or summaries, ensuring all information is accurate, relevant, and presented in an easily digestible format.



·      Administrative Support: Perform data entry tasks, organize files, and maintain electronic documents in a systematic, easily accessible manner.



·      Travel Arrangements: Handle all aspects of travel planning, including flight bookings, hotel reservations, and transportation arrangements. Ensure all travel plans are organized efficiently, meet executive preferences, and are communicated effectively.



·      Virtual Concierge Services: Act as a resource for recommending and booking various services. This may include making reservations at restaurants, coordinating personal services, or sourcing specialty items as needed.



·      Document Formatting & Editing: Proofread and edit documents, ensuring they adhere to established formatting guidelines. This includes reviewing for grammar, punctuation, and consistency, as well as ensuring accuracy of information.



·      Personal Assistance: Manage the executive's schedule, coordinate appointments, and anticipate needs to maximize the executive's productivity.



·      Information Organization: Maintain and organize information across different platforms, such as Box and Notion. This includes structuring data in a logical and user-friendly way, maintaining the confidentiality of sensitive information, and ensuring easy access for authorized individuals.



·      Paying Bills: Take responsibility for the timely payment of both professional and personal bills, ensuring accurate record-keeping.



·      Calendar Management: Oversee the executive's calendar, ensuring efficient time management and preventing scheduling conflicts.



·      Bookkeeping: Handle basic bookkeeping duties such as recording transactions, tracking expenses, and maintaining financial records in an organized manner.



Qualifications:



·      English Proficiency: Must have strong English proficiency, both in reading and writing, with an emphasis on clear, concise communication.



·      Experience: At least 3 years of experience as an executive assistant or in a similar role.



·      Tech-savviness: Proficiency in using various digital tools and platforms such as Box and Notion.



·      Organizational Skills: Superior organizational skills and a keen eye for detail. Ability to manage multiple tasks and projects simultaneously, prioritizing workload effectively.



·      Discretion and Professionalism: High level of discretion when dealing with confidential information. Strong professional etiquette and the ability to represent the executive effectively in all communications.



·      Problem-Solving Skills: Ability to anticipate needs and potential problems, offering solutions proactively.



·      Flexibility: Willingness to perform a wide variety of tasks and adapt to changing circumstances.



·      Time Management: Exceptional time management skills and ability to meet deadlines without compromising accuracy or quality of work.
